Northeast User Groups Conference
20th Anniversary
April 12-14, 2010
Join us and take advantage of this opportunity to interact with hundreds of qualified attendees at the Sheraton Framingham Hotel. NEUGC is the largest IBM System i educational event in the Northeast with approximately 100 technical and professional sessions and hands-on labs.
We are keeping the exhibitor cost the same price as last year ($1495).
Exhibitor Set-Up: Each booth will be equipped with a six-foot table, pipe and drape, side chairs, and a company sign. You may setup between 4:00pm – 8:00pm Monday. It is strongly suggested that you set up Monday rather than waiting until Tuesday morning. You are required to remain until 2:15pm Wednesday, after the final afternoon break.
All exhibits are limited to tabletop displays. Company banner/signage is permitted on the skirt of the booth. We reserve the right to approve displays.
Internet Access: Wireless high speed Internet access will be available in the Expo.
Vendor Entitlements: Each vendor is entitled to two full conference registrations. The registrations include a complimentary continental breakfast and lunch on both Tuesday and Wednesday, as well as a buffet dinner and admittance to Casino Night on Tuesday evening. Exhibitors are invited to attend the sessions as long as booths are covered during the breaks.
Internet Café: An Internet Café in the Expo area will allow attendees to check their email. You may sponsor the Café for an additional cost and have your company’s web site as the home page.
Exhibitor Schedule
Tuesday: 7:30am – 2:45pm and 5:00pm - 6:30pm
Wednesday: 7:30am - 2:15pm
The Expo opens at 7:30 am on both days. Vendors should be present during the session breaks and lunch on both days. Booths should also be attended during the cocktail reception and buffet dinner on Tuesday, which takes place in the exhibit area from 5:00pm to 6:30pm. Vendors are not required to remain at their booths during attendee sessions.
The Expo closes after the final break, at 2:15pm Wednesday. You may not tear down early! Exhibitors who tear down before the final break on Wednesday may not be invited back in subsequent years. Exhibitors are welcome to work in shifts, but there must be no more than two people working at a booth at the same time. If more than two people from your company will be attending the conference at the same time, they must pay the full registration fee.
Hotel Accommodations: Call the hotel directly at 508-879-7200 to make your room reservation. Reference the NEUGC conference rate of $150/160 per night (single/double), available prior to March 12, 2010.
Shipping: All materials being shipped to the hotel must arrive no earlier than Thursday, April 8, 2010. All packages should have the following information indicated clearly on the shipping label:

It would be helpful to notify the hotel with the number of boxes they should expect. You may send an email to Danielle Stoico(danielle.stoico@sheraton.com) with this information.
After the conference, any boxes to be shipped out of the hotel must be properly packaged and labeled with shipping and return address. You are required to call for pickup. The hotel is not responsible for packing or for supplying any packing materials. Any materials left behind without shipping instructions will be discarded three business days after your departure date.
Miscellaneous
- Dress is business casual.
- Booth should be attended and cell phones muted during break and lunch times.
- Exhibitors may not break down before the end of the final break on Wednesday (2:15pm).
- Each booth may have a bowl for business cards and conduct their own drawings. It is up to the exhibitors to collect marketing leads from attendees. NEUGC is prohibited from giving attendee lists to exhibitors.
Lots of reasons to exhibit:
- One six-foot by 30” skirted table, pipe and drape, and side chairs. Exhibits are limited to tabletop displays.
- One 110v outlet. Exhibitors must provide their own cables, adapters and power strips.
- Wireless Internet access.
- Two full conference registrations that also provide admission to conference sessions. If more than two people from your company will be attending the conference at the same time, they must pay the full registration fee.
- Continental Breakfast, Lunch, Refreshment Breaks, Cocktail Reception and Buffet dinner will take place in the Expo.
- Casino night with food Tuesday evening provides opportunity to interact with attendees.
- Your company’s logo and 100 word description on the conference website, along with a link to your company website.
- Passport-Stamping system will encourage attendees to visit the expo.
- Internet Café will draw attendees into the expo.
- Each attendee will receive a drink ticket for the cash bar in the expo area on Tuesday afternoon.

Space is limited, so reserve early. Exhibit space usually sells out for the conference. Booth locations are assigned on first come, first serve basis as we receive payments.
Cancellation Policy:
Cancellations received 90 days prior to event will be refunded in full. Cancellations received 45-89 days prior to event will receive a 50% refund. No refunds are given for cancellations received less than 45 days before the event.
